Position Summary: The Procurement Manager oversees and manages procurement activities within the university, ensuring high-quality goods and services at the most competitive prices and aligning procurement strategies with the institution’s financial goals and operational needs.
Core Responsibilities
- Collaborate with internal stakeholders to understand their procurement needs and requirements.
- Maintain a customer service mindset towards internal stakeholders.
- Manages a team of procurement coordinators, providing guidance, training, and support to ensure that the university procures top-quality goods and services at the best prices possible.
- Foster a collaborative and efficient work environment within the procurement unit.
- Identify cost-saving opportunities and efficiency improvements in the procurement process.
- Evaluate, select, and manage relationships with suppliers and vendors.
- Proactively identify and mitigate risks associated with procurement activities, safeguarding the university’s interests.
- Establish and uphold high quality standards for vendors and goods, ensuring university needs are met with consistent excellence.
- Negotiate contracts, terms, and conditions to secure favorable agreements.
- Ensure procurement activities comply with relevant laws, regulations, and university policies.
- Develop and enforce procurement policies and procedures.
- Assist in the budget process to manage and optimize procurement budgets by purchasing items at an economy of scale when it makes sense.
- Monitor and report on procurement expenditures to allow for budget forecasting and the receipt of goods within established timelines.
- Oversee the sourcing of goods and services, including the preparation and evaluation of tender documents.
- Coordinate the bid process, if necessary, and make recommendations for supplier selection.
- Establish and maintain quality standards for vendors.
- Identify and mitigate risks related to procurement activities.
- Conduct an analysis of the data to identify trends and areas for improvement to continually improve procurement strategies.
Minimum Qualifications
- Bachelor’s degree in accounting, finance, or a related field. Certified or chartered accountants or related professional certifications are preferred.
- 5–10 years of proven experience in procurement, preferably for a large organization or educational institution.
- Strong analytical and problem-solving skills.
- Excellent communication and interpersonal skills.
- Proficiency in procurement software and Microsoft Excel.
