Program / Department Summary
The Reporting & Coordination Officer sits within the Program Grants and Development team, within the Programs department.
General Position Summary
The Reporting & Coordination Officer (RCO) will support the Program Grants and Development Specialist in developing quality donor and internal reports. This will involve coordinating with relevant program and MEL departments to ensure the reporting is on track and on time. The RCO will be responsible for tracking and scheduling key program management meetings, including Budget Vs. Actual (BVA) and kick-off and close-out meetings, and documenting all action points. The RCO will also be responsible for ensuring the program grants and development teams and program teams are filing documents correctly, and in line with Mercy Corps’ record retention policy. The RCO will also be involved in supporting program success stories in coordination with all program teams, and provide writing and copy editing support (capacity building support) to other team members as needed.

Essential Job Responsibilities
- Work with the Program Grants and Development Specialist to ensure all donor reports are submitted on-time, and of high quality.
- Lead on the coordinating and drafting of all monthly donor reports, both formal and informal.
- Support the Program Grants and Development Specialist in coordinating and drafting quarterly and annual donor reports.
- Responsible for tracking and scheduling important meetings such as Budget vs Actual (BVA) meetings, kick-off and close-out meetings, and that action points are all documented.
- Responsible for ensuring all program documents are filed correctly, and that all teams are following Mercy Corps Record Retention Policy, including conducting regular filing audits.
- Support the program team to identify, research, write, and report on key success stories for internal and external audiences, packaging stories that center on evidence to further illustrate impact of the programming.
- Develop and design communication materials as needed, including program briefs, short reports, activity plans, thematic briefs and information updates.
- Assist the Program Grants and Development Specialist in developing capacity building training and ongoing mentoring of program teams to ensure drafting of quality reports, success stories, and other program materials.
- Abide by all security and operation protocols and adhere to Mercy Corps’ relevant program guidelines, principles, values, quality standards and strategic plans.

- Mercy Corps team members are expected to support all efforts towards accountability, specifically to our beneficiaries and to international standards guiding international relief and development work while actively engaging beneficiary communities as equal partners in the design, monitoring and evaluation of our field projects.
- Ensure all internal control procedures are adhered to and that necessary measures are put in place to ensure high standards of accountability and compliance.
- Ensure findings from endline surveys, evaluations, and internal and external audits are used to improve programs.

Qualifications
Knowledge and Experience
- Bachelor’s degree in related fields is preferred.
- Excellent experience and qualifications in writing in English.
- Good experience and qualifications in leading training and workshops.
- Good understanding of donor reporting.
- Minimum 2 years’ experience working with an international NGO.
- High level computer and internet skills are required.
- Fluency in English.
- Kurdish & Arabic language skills highly desired.
- Strong leadership, problem-solving skills and effective listening, negotiation and representation skills and the ability to work comfortably with an ethnically diverse staff in a sensitive environment.
- Sense of creativity.
- Strong multi-tasking, organizational, prioritization skills are necessary.
- Demonstrated attention to detail, ability to follow procedures, meet deadlines and work independently and cooperatively with team members is required.
- Commitment to working with vulnerable groups regardless of race, religion, or gender.
- Understanding of and demonstrated commitment to the importance of a balanced gender representation within youth programming.

Excellent written and oral communication skills (email communications, regular updates, and internal and external reports). Demonstrated flexibility and creativity in planning and problem solving. Living Conditions / Environmental Conditions
The position is based in Erbil, Iraq. Mercy Corps Team members represent the agency both during and outside of work hours when deployed in a field posting or on a visit to a field posting. Team members are expected to conduct themselves in a professional manner and respect local laws, customs and Mercy Corps’ policies, procedures, and values always and in all in-country venues.
