This position will report directly to the Human Resources Generalist
Position Summary: We are seeking a highly organized and detail-oriented Human Resources/Payroll Assistant to join our team. The ideal candidate will be responsible for supporting our HR and Payroll departments in various administrative tasks. This role requires exceptional attention to detail, strong organizational skills, and the ability to maintain confidentiality.
Core Responsibilities
- Payroll Processing: Assist in preparing the payroll for employees accurately and on time.
- Review timesheets, attendance records, and other relevant documentation for accuracy.
- Calculate overtime and deductions as necessary.
- Collaborate with the Finance department to ensure accurate and timely salary disbursements.
- HR Administration:
- Maintain employee records, both physical and electronic, ensuring accuracy and confidentiality.
- Assist in onboarding and offboarding processes, including paperwork, data entry, and document collection.
- Support in maintaining and updating employee databases and HRIS (Human Resources Information System).
- Generate employment verification letters, salary certificates, position transfers and other HR-related documentation.
- Assist in making travel arrangements for visa runs and onset/offset of employment.
- Coordinate housing accommodation for employees as needed.
- Assist HR Compliance Coordinator with flight arrangements as needed and various tasks.
- Benefits Administration:
- Assist in enrolling new employees in benefit programs and maintaining existing staff on benefit plans.
- Coordinate with benefits providers and resolve any issues related to benefits.
- Provide information to employees about available benefits and assist in addressing benefits-related inquiries.
- Data Management:
- Ensure data accuracy and integrity in all HR ERP systems.
- Compliance and Documentation:
- Assist in ensuring compliance with relevant employment laws, regulations, and university policies.
- Maintain confidentiality of sensitive HR and payroll information.
- Prepare and file necessary paperwork for government reporting and audits.
Qualifications
Educational Qualifications:
- Bachelor’s degree in HR, Business, or related field
- Two or more years’ experience in HR, payroll, or administrative roles required
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with HRIS systems and payroll software. Preference ERP: HCM, JDE
- Strong attention to detail and accuracy.
- Excellent organizational and time management skills.
- Strong communication skills, both written and verbal.
- Ability to maintain confidentiality and handle sensitive information with professionalism.
- Knowledge of employment laws and regulations is a plus.
- Problem-solving skills and the ability to work independently and as part of a team.
Competencies (Knowledge, Skills & Abilities)
- Proficient with HR and Payroll software, including ERP HCM and JDE MS Office.
- Familiarity with accounting software and procedures.
- Ability to handle confidential information.
- Familiarity with Iraqi labor and policy laws.
- Excellent communication and interpersonal skills.
- Ability to prepare reports as requested.
