Position Summary

The Project: The HAI is launching a six months project to monitor protection situations and provide legal services in Kirkuk Governorate and Tuz Khurmatu. The aim of this project is to ensure that internally displaced persons (IDPs) and refugees in the target areas have access to their basic legal rights and protections as mandated by Iraqi and international law.

This role will report to the Accountability and Outreach Team Leader and will receive guidance from the project manager. The Receptionist will be responsible for managing the front office operations at the Kirkuk CSC, which includes welcoming clients, directing them to the appropriate service or department, answering phone calls, and addressing any inquiries regarding the organization/project.

Essential Duties and Responsibilities

Essential Duties and Responsibilities:聽The Receptionist will be stationed at the Kirkuk CSC and will report directly to the Accountability and Outreach Team Leader. As a member of the project team, the Receptionist will be responsible for the following tasks:

1.聽聽聽聽聽 Greet visitors and people of concern either in person or via phone and direct them to legal/protection consultation rooms and the complaint box.

2.聽聽聽聽聽 Ensure a clean and secure reception area by adhering to procedures, regulations, and rules.

3.聽聽聽聽聽 Maintain continuity among work teams by documenting actions, continuing needs, and irregularities.

4.聽聽聽聽聽 Offer initial information to service recipients (Refugees and IDPs).

5.聽聽聽聽聽 Plan and schedule registration days for refugees at the Kirkuk CSC.

6.聽聽聽聽聽 Monitor and manage visitor flow to the community center.

7.聽聽聽聽聽 Enter data for PoCs and visitors, including all relevant details.

8.聽聽聽聽聽 Support the CSC Administration staff with weekly and monthly duties.

9.聽聽聽聽聽 Follow Heartland Alliance International policies and principles, as well as international human rights and humanitarian principles, including gender equality and child safeguarding.

10.聽聽 Collaborate and communicate with supervisors, team leaders, and coworkers.

11.聽聽 Submit daily, weekly, and monthly reports as directed by the supervisor or Project Manager.

12.聽聽 Respond to inquiries related to the organization or project.

13.聽聽 Schedule appointments and arrange follow-up visits.

14.聽聽 Perform basic bookkeeping, clerical, and filing duties.

15.聽聽 Carry out other assigned tasks and responsibilities by the direct supervisor or Project Manager.


Qualifications


路聽聽聽聽聽聽聽 Bachelor or Diploma degree in Administration or other related field.

路聽聽聽聽聽聽聽 Minimum 1-2 years of relevant experience working with NGOs in humanitarian settings.

路聽聽聽聽聽聽聽 Demonstrated understanding of protection principles.

路聽聽聽聽聽聽聽 Experience with Windows platform, including Word, Outlook, Excel, etc.

路聽聽聽聽聽聽聽 Excellent oral communication skills.

路聽聽聽聽聽聽聽 Excellent negotiation and relationship management skills, with the ability to proactively problem solve and find solutions

路聽聽聽聽聽聽聽 Proven ability to calmly, professionally, and successfully manage multiple priorities

路聽聽聽聽聽聽聽 Excellent negotiation and relationship management skills, with the ability to proactively problem solve and find solutions

Language Skills:聽Fluent in Arabic (Mandatory), Kurdish and Turkish.

English Proficiency Level Required: Intermediate

Turkish Proficiency Level Required: Advanced

路聽聽聽聽聽聽聽聽Must work in the duty station is in the Community Support Center in Kirkuk city center 5 days/week, 8 hours/day.
