Job Summary: 

The Project Operations Assistant plays a key role in terms of providing effective support to project activities through the appropriate delivery of operational services. The Project Operations Assistant has the vital role of receiving the demands from programmatic areas and responding with adequate operational solutions. Under the direct supervision of the Project Coordinator, the incumbent provides support for planning, implementation, monitoring, logistical and administrative support to the project. Major duties and responsibilities are as follows: 


Job Responsibilities:

Cooperate with AHC Operations Unit for project-related operations and support functions programming functions.

  • Facilitate the implementation of project financial performance by providing necessary financial information, advance requests and reconciliations.
  • Cooperate with the development of tools and mechanisms for effective and efficient implementation of the project.
  • Perform HR tasks related to the project: Assisting in drafting contracts, Purchase Orders, Long Term Arrangements, and Memorandum of Understanding (MOU), including pricing, statements of work, terms and conditions.
  • Assist with administrative tasks related to the selection and hiring of individual consultants.
  • Coordinate with vendors and partners regarding project-related stuff.
  • Assist in payment processes through the creation of regular vouchers, PRFs, and guaranteeing proper validation of supporting documents and approval by responsible parties.
  • Support the project coordinator during the implementation process of the project for any other operational tasks required.
  • Develop SOPs and activities to meet or improve project’s operational needs.
  • Support official travels in coordination with the demanding unit and the Joint Operations Facility.
  • Assist in daily operation tasks between the project management and the teams. 
  • Assist the project coordinator in executing other operational and administrative tasks.
  • Perform other related duties as assigned by the supervisor.

Qualifications &  Skills

Typical Background, Experience & Requirements:

Education and Experience

  • Minimum high school diploma required. Bachelor’s degree in business administration or a relevant field is a plus.
  • Work experience in administrative support functions. Experience with a local or international NGO is a plus.
  • Additional experience may substitute for some education.
  • Experience and proficient skills in using MS Office package (Excel, Word, PowerPoint, Visio) and information management systems.

Required Languages: English, Arabic, Kurdish. 

 Travel Required: Erbil (with 15% possibility of traveling)
